Guest lists

One guest list, one number you can trust

Replies, party sizes, dietary answers and manual entries all land in the same list — with a head count that updates the moment someone hits submit.

What is guest list management?

Guest list management is keeping one accurate record of who is coming, how many people they bring and what they need. InviteFox builds that list from your RSVP form automatically, so you are reading totals instead of counting rows in a spreadsheet.

What the responses page gives you

  • Live totals for adults, children and plus-ones
  • Search by name or email
  • Filter by Yes, No, Maybe or by any answer
  • Add, edit or remove a reply by hand
  • Capacity limit with seats-remaining count
  • One-click CSV export

Why reply counts are not head counts

Twenty replies can mean fifty people. A kitchen, a venue and a seating plan all need people. Because the RSVP form captures party size as part of the reply, the number at the top of your guest list is already the number of plates.

Guest details stay private to your organizer account. The public event page shows the invitation and the form only — never who else replied.

Questions people ask

How does guest list management work in InviteFox?
Every reply becomes a row in one guest list for that event. You see status, party size, contact details and every custom answer, with live totals at the top. Search by name, filter by status, and export the list as a CSV.
Can I add a guest who replied by text or in person?
Yes. Add the reply by hand with the same fields a guest would fill in, so your totals stay correct no matter how the answer reached you.
How are plus-ones and children counted?
Party size is stored as adults and children, so totals show people rather than replies. Declines are subtracted, and the total is compared against your capacity limit so you always know how many seats are left.
Can guests change their own reply?
Yes, when you allow edits. Each guest gets a private link by email that opens only their own reply. No guest can see another guest's answers.
What can I hand to a caterer or venue?
A CSV export with statuses, party sizes and every custom answer, including dietary notes. You can also read the totals straight off the event overview.
