Church event signups without a clipboard on the back table
Ministry events live or die on the head count. InviteFox takes signups from a bulletin QR code and tells the kitchen, the nursery and the setup crew the same numbers.
Four things church signups need that a plain form misses
Meals need real numbers
A kitchen team cannot cook from a reply count. Totals include adults, children and guests brought along, so the number you hand the cooks is the number of plates.
Childcare needs its own count
Ask whether childcare is needed and how many children, then read that total straight off the event overview instead of scrolling a list.
Space is often capped
Set a capacity and a signup deadline. The form closes on its own, so nobody signs up for a seat that is gone.
Announcements happen in person
One QR code in the bulletin, on a slide and on the lobby table sends everyone to the same page. Change the details later without reprinting.
Events churches run with it
- Potlucks and fellowship meals
- Youth campouts and lock-ins
- Men's and women's breakfasts
- Vacation Bible school
- Volunteer and serve days
- Holiday services with seat limits
Every event gets its own permanent link and QR code, plus a custom RSVP form. Duplicate last year's campout and only change the dates.
Questions people ask
- How do we take signups from people who are not tech savvy?
- Put the QR code in the bulletin and on a lobby poster. A guest points a phone camera at it, taps three or four answers and submits. There is no app to install and no account to create.
- Can we count children separately for childcare planning?
- Yes. Party size is split into adults and children, and totals are shown separately, so the nursery team can plan from the same numbers the kitchen uses.
- Can we ask about dietary needs only for people who are coming?
- Yes. Add a conditional follow-up so the dietary question appears only after a guest selects that they are attending. Guests who decline never see it.
- Is guest information visible to other members?
- No. The public page shows the invitation and the RSVP form only. Replies, names and answers are visible to the organizer account, and each guest can only see and edit their own reply.
Describe the event the way you would announce it
“Youth campout September 12 to 14, families welcome, cap at 60.” That is enough.
